ENTERING BUSINESS CARD FILE INFORMATION ON THE EC-340

The business-card file is your data directory's main file.  To enter
information into the business-card file:

1.  Press [ENTER].

2.  Press [BUSINESS CARD FILE].

3.  Enter the information in the following format:

    Last Name[SPACE]First Name[RETURN]
    Company Name[RETURN]
    Phone No.[SPACE]Fax No.[RETURN]
    Address[RETURN]
    City[SPACE]State[SPACE]Zip[RETURN]
    Additional Information[RETURN]

    You can enter up to 55 lines of additional information.

    If you make a mistake, press [ERASE] to back up and delete the
    character, or use [REV] and [FWD] to position the flashing cursor at
    the location of the error and make your correction.

4.  Press [BUSINESS CARD FILE] to store the record.

5.  Enter the next record, or press [BUSINESS CARD FILE] again to stop
    entering records.

Note:  You only enter each business-card record once.  Your data directory
       keeps track of each record by both the person's name and the
       company name, so each record shows up twice when you recall
       business-card records.  CHANGING A BUSINESS-CARD-FILE OR REMINDER-
       NOTES RECORD ON THE EC-340

To change a business-card-file or reminder-notes record:

1.  Recall the business-card-file or the reminder-note to the first line
    in the display.

2.  Press [ERASE].  A flashing cursor appears at the end of the first
    line.

3.  Use [REV], [FWD], [UP], and [DOWN] to position the cursor on a
    character you want to change.  Press [ERASE] once to delete the
    character.  Press [ERASE] additional times to back up and delete more
    characters.  Deleted characters are replaced by a space.

4.  Type in new characters.  If you type on a space, the space is replaced
    with the character.  If you type on a character, the new character is
    inserted before the old character, and the old character moves to the
    right.

5.  Press [BUSINESS CARD FILE] or [REMINDER NOTES] to save your changes to
    the record.

You cannot change a call-sheet or letters-to-write record.  You must
delete and re-enter these records.

AUTOMATIC POWER OFF ON THE EC-340

To save battery power, your data directory automatically turns off about 3
1/2 minutes after your last key press.  To restore power press
[INSTR][ENTER], or any feature button.

RECALLING REMINDER NOTES ON THE EC-340

To recall reminder notes, press [REMINDER NOTES].  Reminder notes appear
in alphabetical order.  The first line of each note starts in the left
column.  Additional lines are indented one space.  If you have more than
one screen of reminder notes, press [DOWN] to see more notes.

USING THE SECURITY CODE ON THE EC-340

You can set a security code for your directory so that others cannot get
into your private business information.  To set the security code:

1.  Press and hold [SPACE], then press [.].

2.  At the prompt, enter a two-digit number.  This number becomes your
    data directory's security code.

3.  Press [ENTER] to store the number.

To lock your files after you set a security code, press and hold [SPACE],
then press [.].  Your data directory now prompts for the security code
whenever anyone presses one of the file buttons.

To unlock your files, enter the correct two-digit security code at the
prompt.

To remove the security code from your data directory, lock your files.
Then, when the data directory prompts for the correct security code, press
and hold [ERASE] while you enter the correct security code.

VIEWING THE MORNING REVIEW ON THE EC-340

The morning review function automatically displays your letters-to-write,
reminder-notes, and call-sheet records with a single press of [MORNING
REVIEW].  Each screen of all files display for about 2 seconds.  RECALLING
A MONTHLY CALENDAR ON THE EC-340

To see a monthly calendar, press [MONTHLY CALENDAR].  To advance one
month, press [FWD].  To look at a previous month, press [REV].  To advance
to the same month in the next year, press [DOWN].  To go to the same month
of the previous year, press [UP].  RECALLING LETTERS TO WRITE ON THE EC-
340.

To recall letters to write, press [LETTERS TO WRITE].  Your letters to
write appear in alphabetical order.  If you have more than one screen of
letters to write, press [TURN PAGE] or [DOWN] to see more of the list.

USING THE CALCULATOR ON THE EC-340

Press [CALCULATOR] to use the calculator.  Then use the +, -, X, division
symbol, and = keys just as you would on a normal calculator.

Press [CALCULATOR] to start a new calculation.

Press any other function key to stop using the calculator.

MANUALLY ENTERING CALL-SHEET RECORDS ON THE EC-340

To manually enter a call-sheet record:

1.  Press [ENTER].

2.  Press [CALL SHEET].

3.  Enter the person's last name.  Press [RETURN].

4.  Enter the person's phone number.  Press [CALL SHEET].

5.  Enter another call sheet record, or press [CALL SHEET] again to stop
    entering information.

Note:  If you entered a business-card file record for the person you need
       to call, you can transfer the information.  See "Internal
       Information Transfer."

INTERNAL INFORMATION TRANSFER ON THE EC-340

You do not have to manually enter your call-sheet or letters-to-write
records if you have already entered a business-card-file record for the
person.  To automatically transfer the information:

1.  Recall the business-card-file record for the person to add to the
    call-sheet or letters-to-write file.

2.  Press and hold [SPACE].  Then, press either [LETTERS TO WRITE] or
    [CALL SHEET] to transfer the information to the desired file.

When you transfer information to the letters-to-write file, the person's
name and company name transfers.  When you transfer information to the
call-sheet file, the person's name and telephone number transfers.

BUILT-IN INSTRUCTIONS ON THE EC-340

Your data directory has built-in instructions.  To use the instructions:

1.  Press [INSTR].  The first instruction screen appears.

2.  Press [TURN PAGE] or [FWD] to advance to the next page, and find the
    subject in the on-line contents.

3.  Repeatedly press [TURN PAGE] or [FWD] to rapidly advance to the page
    you need.

4.  If you need to back up, press [REV].

5.  Press any feature button - such as [LETTERS TO WRITE] - to stop
    displaying the instructions.

Your data directory's built-in instructions use the following
abbreviations for feature buttons:

BCF - Business Card File
LTW - Letters To Write
CS  - Call Sheet
RN  - Reminder Notes
MR  - Morning Review
MC  - Monthly Calendar

KEYTONE ON THE EC-340

Your data directory sounds a tone each time you press a key.  To turn off
the keytone, press and hold [SPACE].  Then, press [K]. Repeat this
procedure to turn the keytone back on.

MANUALLY ENTERING LETTERS-TO-WRITE RECORDS ON THE EC-340

To manually enter a letters-to-write record:

1.  Press [ENTER].

2.  Press [LETTERS TO WRITE].

3.  Enter the person's last name, and press [SPACE].  Enter the first
    name, and press [RETURN].

4.  Enter the company name.  Then press [LETTERS TO WRITE] again.

5.  Enter another letters-to-write record, or press [LETTERS TO WRITE]
    again to stop entering records.

Note:  If you entered a business-card-file record for the person you need
       to write, you can transfer the information.  See "Internal
       Information Transfer."

RECALLING BUSINESS CARD FILES ON THE EC-340

You can recall business-card-file records three ways - rolodex recall,
indexed redall, and sequential recall.

Rolodex Recall

You can quickly flip through your business-card-file records.  While the
data directory is turned on, just turn the Rolodex knob forward or back to
go the business-card-file and view the records.

Note:  Do not turn the knob too fast.  If you do, the directory only
       advances or goes back one record.

Indexed Recall

To quickly recall a business-card-file record:

1.  Press [BUSINESS CARD FILE].

2.  Enter the first letter(s) of the person's name or company name.

    As soon as you enter a character that distinguishes the record from
    others, the business-card record appears.  If more than one record
    starts with the same eight characters, enter the first eight
    characters.  Then press [FWD] to display the first record that
    matches.  Repeatedly press [FWD] to see the next records in
    alphabetical order.

3.  If the record is longer than one screen, press [DOWN] to review the
    additional information one line at a time.  Press [UP] to move up
    through the record, or press [TURN PAGE] to move ahead an entire
    screen at a time.

Sequential Recall

To scroll through your business-card records:

1.  Press [BUSINESS CARD FILE].

2.  Press [FWD] or [REV] to advance or back up through the business cards
    in alphabetical order.

    Your business cards show up twice - once by the person's name and once
    by the company name.

3.  If the record is longer than one screen, press [DOWN] to view
    additional information one line at a time.  Press [UP] to move up
    through the record, or press [TURN PAGE] to move ahead a screen at a
    time.

RECALLING CALL-SHEET RECORDS ON THE EC-340

To recall call-sheet records, press [CALL SHEET].  Call-sheet records
appear in alphabetical order.  If you have more than one screen of call-
sheet records, press [TURN PAGE] or [DOWN] to see more of the list.

REMINDER NOTES ON THE EC-340

To enter reminder notes:

1.  Press [ENTER].

2.  Press [REMINDER NOTES].

3.  Enter the reminder note.

    The data directory holds up to 60 lines of reminder notes.  Each
    reminder note can use the entire remaining reminder note area.

    To keep reminder notes by date, start the reminder note with the date.

4.  Press [REMINDER NOTES].

5.  Enter another reminder note, or press [REMINDER NOTES] again to stop
    entering information.

RESETTING THE EC-340

If your data directory is exposed to a strong static discharge, or if you
drop your data directory, the display might become dim, or it might stop
responding to key presses.  To reset your data directory's processor,
press [RESET] on the back of the display with a straightened paper clip.
This does not delete information from memory, and should correct the
problem.

If this does not correct the problem, or if you want to delete the
information from your data directory's memory:

    Warning:  This procedure deletes all information from your data
              directory!

1.  Press and hold [ENTER], then press [RESET] with a straightened paper
    clip.

2.  Release [RESET], then release [ENTER].  After 30 seconds the display
    returns to normal.

If this still does not correct the problem, contact your local Radio Shack
store for assistance.

DELETING A RECORD ON THE EC-340

To delete a record from any of the files:

1.  Recall the record you want to delete to the top line of the display.

2.  Press and hold [ERASE] until the record disappears.

TRANSFERRING BETWEEN DATA DIRECTORIES

You can transfer business-card-file records between your data directory
and another EC-339, EC-340, or another compatible Rolodex data directory.

Note:  The directory's display might dim during the transfer.  This is
       normal, and the display contrast will return to normal after the
       transfer.

Transferring All or New Records
----------------------------------------------------------

To transfer all business-card records from your data directory to another
data directory, or to transfer all records you have made since the last
time you transferred records:

1.  Place the sending data directory on the right, and the  receiving data
    directory on the left.

2.  On the receiving data directory, press [BUSINESS CARD FILE].  Press
    and hold [SPACE].  Press [R] to begin receiving.

3.  On the sending data directory, press [BUSINESS CARD FILE].  Press and
    hold [SPACE] and press [L].

4.  To send all records, type ALL.  To send only records you made since
    the last transfer, type NEW.

The records begin to transfer.  When the transfer completes, both data
directories show the last record sent.  

If the receiving data bank displays an error message, be sure the transmit
and receive windows on the data directory are lined up, and try again.

If you send the same records to a data directory more than once, the
records are duplicated.

Transferring One Business Card
------------------------------------------------------------------

To send only one business-card-file record to another data directory:

1.  Place the sending data directory on the right, and the receiving data
    directory on the left.

2.  On the receiving data directory press [BUSINESS CARD FILE], then press
    and hold [SPACE] and press [R].

3.  On the sending data directory, recall the business-card you want to
    send.  Press and hold [SPACE], then press [L].

The recalled business-card record is sent to the receiving data directory.
Then both data directories display the record.
