Your data directory has built-in instructions. To use the instructions:
1. Press [INSTR]. The first instruction screen appears.
2. Press [TURN PAGE] or [FWD] to advance the next page, and find the
subject in the on-line contents.
3. Repeatedly press [TURN PAGE] or [FWD] to rapidly advance toe the page
you need.
4. If you need to back up, press [REV].
5. Press any feature button - such as [LETTERS TO WRITE] - to stop
displaying the instructions.
Your data directory's built-in instructions use the following
abbreviations for feature buttons:
BCF - Business Card File.
LTW - Letters To Write.
CS - Call Sheet.
RN - Reminder Notes.
MR - Morning Review.
MC - Monthly Calendar.
Note: The built-in instructions refer to rotary knobs. These instructions
apply only to the Desktop Rolodex Data Directory.
Entering Information
Use the following suggestions to help get the most effective use from your
data directory:
Enter all names, phone numbers, addresses and any additional information
into the business card file.
Use the instant record transfer function to move information from the
business card file into the call sheet or the letters to write file.
Use the call sheet to record calls you need to make. Use the letters to
write file to record letters you need to write.
Use the reminder notes for miscellaneous messages and a list of things
to do.
Your data directory can store a total of 64,000 characters of information.
Each file can hold information as follows:
Note: Storing and changing entries uses more power than viewing entries.
You might find that, after entering information for an extended
period of time (longer than 1 hour), the display might dim. This is
normal. Your data directory should still have plenty of power
available for all functions. To prevent this power drain, enter new
records for 15-20 minutes. Then, let the directory's battery
recover for at least 1 hour before you enter more entries.
Business Card File - Each record can hold up to 11 screens (60 lines) of
information. The person's name can be up to 24 characters, and the company
name can be up to 24 characters. The first phone number can be up to 12
digits long, and the second telephone number can be up to 11 characters
long. The file uses all space not used by reminder notes, letters to
write, and call sheets.
Reminder Notes - Each remainder note can be up to 60 lines long. But, the
entire file can hold only 60 lines, so if you want more than one note, use
less than 60 lines per note.
Letters To Write - Each record is only one line long. The person's name
can be up to 11 characters, and the company name can be up to 12
characters. You can record up to 60 letters to write.
Call Sheet - Each record is only one line long. The person's name can be
up to 11 characters, and the phone number can be up to 12 characters. You
can record up to 60 calls on the call sheet.
Memory Usage - Your data directory has room for a total of 64,000
characters of information. Some of this capacity is permanently allocated
to reminder notes, letters to write, and the call sheets. When you first
use your directory (before you enter any information) the display shows:
BCF MEMORY USED: 0
BCF MEMORY LEFT: 59210
As you enter information into the business card file, BCF memory used
increases and BCF memory left decreases. Adding and deleting from the
reminder notes, letters to write, and call sheets does not affect the BCF
memory.
Entering Information In The Business-Card File
The business-card file is yur data directory's main file. To enter
information into the business-card file:
1. Press [ENTER].
2. Press [BUSINESS CARD FILE].
3. Enter the information in the following format:
Last Name [SPACE] First Name [RETURN]
Company Name [RETURN]
Phone No. [SPACE] Fax No. [RETURN]
Address [RETURN]
City [SPACE] State [SPACE] Zip [RETURN]
Additional Information [RETURN]
You can enter up to 55 lines of additional information.
If you make a mistake, press [ERASE] to back up and delete the last
character. Or, use [REV] and [FWD] to position the flashing cursor at
the location of the error and make your correction.
4. Press BUSINESS CARD FILE] to store the record.
5. Enter the next record. Or, press [BUSINESS CARD FILE] again to stop
entering records.
Note: You only enter each business card record once. Your data directory
keeps track of each record by both the person's name and the
company name, so each record shows up twice when you recall
business-card records.
Entering Reminder Notes
To enter reminder notes:
1. Press [ENTER].
2. Press [REMINDER NOTES].
3. Enter the reminder note.
The data directory holds 60 lines of reminder notes. Each reminder
note can use the entire remaining reminder note area.
To keep reminder notes by date, start reminder note with the date.
4. Press [REMINDER NOTES].
5. Enter another reminder note. Or, press [REMINDER NOTES] again to stop
entering information.
Manually Entering Call-Sheet Records
To manually enter a call-sheet record:
1. Press [ENTER].
2. Press [CALL SHEET].
3. Enter the person's last name, press [SPACE], and enter the first name.
Then, press [RETURN].
4. Enter the company name. Then, press [LETTERS TO WRITE].
5. Enter another letters-to-write record. To stop entering information,
press [LETTERS TO WRITE] again.
Note: If you entered a business-card-file record for the person you need
to write, you can transfer the information. See "Internal
Information Transfer", in Faxback Doc. # 32161.
