How to use the Phone Directory
Phone numbers are entered into the Voice Organizer directory by voice.
Numbers are recalled by saying the person's name, then looking at the
display for the number. The directory can store up to 20 names and 80
phone numbers.
TIPS FOR PHONE DIRECTORY
Remember to say "zero" and not 'oh' when entering numbers.

You can correct a mistake in voice recognition just by saying 'No".
If the Organizer 'misunderstands' you, i.e., puts feedback on the screen
that is not what you said while setting a due time by voice or entering a
phone number - say "No" and the Organizer will automatically make a second
guess.
If it is still incorrect, say "No" again and restate the correct word when
prompted to 'REPEAT'. This cycle will continue until you accept display
feedback and move on by answering the next prompt or abort the process.
Train and Record
the name the way you normally think of it, not necessarily the way you
would write it in a directory. Such 'non-traditional' entries might
include 'the Plant' instead of the actual name of the place where you work,
'Mom' instead of your mother's first and last names, etc.
The way you ask for a name
"John" and the playback confirmation you receive, "John Smith" do not have
to be identical, since one is the voice training used to enter and recall a
name, and one is simply a recording that plays back for confirmation.
Playback names use memory, so they must be short (about one second), yet
long enough for you to hear clearly.
Voice Recognition
works better the more distinctive the sounds are, so most entries would
include first and last names, run together the way you normally say them.
Don't pause between first and last names.
Entering Phone Numbers in the Directory
Press the [PHONE] button to enter a new name and number.
Hold the [EDIT] button for double beep. Screen prompts for 'SAY NAME'.
Hold the [PHONE] button until entire name and number are entered, as
follows:
Say JOHN SMITH.
IMPORTANT: Do not pause between the first and last name. Say JOHNSMITH as
one word.
Repeat JOHN SMITH, each time when prompted (see note below). Screen then
prompts for 'NUMBER'. (Keep holding the [PHONE] button.) Say each digit
when prompted (Pausing between each digit) 5, 5, 5, zero, 2, 3, 9. (Each
digit "heard" continues to blink until the next digit is entered.) If you
make a mistake, release the [PHONE] button and press [ERASE] once for each
digit to be deleted. Then hold [PHONE] and continue entering digits.
Release the [PHONE] button.
Press the [SAVE] button. 'BUSINESS' flashes on the screen.
Press the [SAVE] button, because this is a business number. (or press [->-
>NEXT] to move to Home, Fax or Other and then press [SAVE].)
NOTE: The third time you are prompted to repeat the name, say the name
you wish it to be played back.
Retrieving Phone Numbers
Hold the [PHONE] button.
Say JOHN SMITH.
Release the [PHONE] button. The organizer plays back 'John Smith', and
screen displays phone number.
Adding an Additional Phone Number to an Existing Name
Retrieve John Smith's phone number and then:
Hold the [EDIT] button for the double beep (to indicate adding a number).
Hold the [PHONE] button.
Say 2, 1, 2, 5, 5, 5, 8, zero, zero, 9. This number includes an area code.
Release the [PHONE] button. Screen displays number.
Press the [SAVE] button. Display prompts for 'HOME' type.
Press the [SAVE] button to accept as home number (or press [->->NEXT] to
move to Fax or Other then press [SAVE]).
Editing Phone Numbers
Retrieve John Smith's phone number and then:
Press [->->NEXT] to move to John Smith's home number.
Press the [EDIT] button for one beep. First digit flashes.
Press the [SELECT] button to move digit by digit to the second zero.
Press [->->NEXT] until the '0' becomes a '3'.
Press the [SAVE] button to save the edited phone number.
Erasing Phone Numbers
Retrieve John Smith's phone number and then:
Hold the [ERASE] button for a double beep. John Smith's business number
is deleted. The home number will be displayed.
Hold the [ERASE] button for a double beep. John Smith's home number is
deleted. And since this is the last remaining number stored for John
Smith, the entire John Smith entry is deleted.
Some Tips
If the Voice Organizer misunderstands a digit you said, you can say 'No".
You can enter a number manually instead of by voice.
Remember to say 'zero' not 'oh' when entering numbers.
If some numbers or names are often misrecognized, you may want to re-train
them.
More About Retrieving Numbers
To retrieve a number, hold the [PHONE] button and ask for a name, press [<-
<-PREV] or [->->NEXT] to see another number for the same name or to scroll
to the previous or next name if that was the last number for this name. To
get another number, hold the [PHONE] button and say the next name you want.
You can also retrieve phone numbers manually by pressing [->PLAY]
immediately upon entering the phone directory. The Organizer will start
the playback and scrolling process without your having to say a name aloud.
Use [<-<-PREV] or [->->NEXT] to scroll through the numbers and names in the
directory.
Long Numbers
Numbers can be up to 20 digits. If a number has more than 15 digits, only
the first 7 digits are shown on the first screen, with an arrow indicating
there are more digits. To go to the second screen of a long number, press
[SELECT]. The remaining digits will be shown with an arrow indicating the
presence of preceding digits. To return to the first screen, press
[SELECT] again.
Phone Numbers with Extensions
Depending on whether or not you enter an area code for a person, and how
many digits are in the extension, the phone number may not be positioned in
relation to the top and bottom lines or to the hyphen the way you desire.
There are two solutions to this: you can enter the extension with the
phone number and ignore the visual position of the numbers, or you can
enter the extension as a separate number, under 'OTHER', which would then
be accessed by pressing [->->NEXT].
Keep Number on Screen Longer
A busy signal or something else might require you to keep the number you
are looking at on the screen longer than the 30 seconds it is usually
displayed. Press [->PLAY] to restart the 30-second viewing period.
