Moving the Cursor
The cursor on the screen lets you see where to add or delete a character.
The cursor blinks over the space or character you are currently editing.
The cursor automatically advances to the next entry position after you
enter a character or space. To start a new line, simply press <. The
cursor moves to the beginning of the next line.
While editing records, you can press < or > to move the cursor backward or
forward on the current line, or press Up or Down Arrow to move the cursor
/\ or \/ a line.
Entering Letters, Numbers, and Spaces
You can enter up to 16 characters on a line. To enter a letter or number,
press the key marked with the letter or number you want to enter. To
enter a space, press SPACE.
The organizer displays up to four lines at one time, If /\ or \/ appears
on the lower left or right side of the display, the record has more than
four lines. Repeatedly press (or hold down) /\ or \/ to view any
additional lines.
Using CAPS
Press CAPS to change from lower-case to capital letters. CAPS appears at
the bottom of the display. To enter lower-case letters again, press CAPS
again so CAPS disappears.
Using SHIFT
Press SHIFT to make only the next letter you enter a capital or lower-case
letter, depending on the setting of CAPS. /\ appears at the bottom of the
display. After you press the letter, /\ disappears.
To enter a character printed in yellow above the number keys on the keypad,
press SHIFT, then press the corresponding number key.
Entering Symbols
To enter a symbol, or a symbol printed in gray above the letter keys on
the keypad, press CODE, then press the corresponding key.
Entering Accented Characters
You can accent a character with the accent marks printed in gray above the
last row of letter keys on the keypad.
Note: You can only accent a character that uses that accent.
1. Press CODE.
2. Press the key that has the desired accent printed above it.
3. Press the key for the character you want to accent.
For example, to display an e, press CODE, X, the E. The accented letter
appears on the display and the cursor moves to the next space.
Deleting Characters
To delete a character, repeatedly press <, >, /\, or \/ to move the
flashing cursor over the character, then press DEL. The remaining
characters on the line move to the left.
You can also use BACK (backspace) to back up and delete a character at the
same time.
Inserting Characters
To insert a character, repeatedly press <, >, /\, or \/ to move the
flashing cursor to the position where you want to insert the new
character, then enter the new character. The remaining characters on the
line move to the right.
Checking The Memory Capacity
Your organizer displays storage space in bytes. The EC-394 has 32,765
bytes and the EC-399 has 65,533 bytes of total storage space available.
To see how much storage space is available at any time, press SHIFT then
CAPA (capacity).
The number under FULL shows the amount of storage space (in bytes) you
have available, and the number under USED shows the amount of storage
space (in bytes) you have already used. To return to the previous
function, press any key.
Note: If little or no storage space is available, you must delete some
records to free additional storage space. See "Deleting Records"
in Faxback Doc. # 46222.
Using Home/World Time
The organizer lets you set a home time zone (the time zone you live in)
and a world time zone (a time zone in another area), and display
information (day of the week, date, and time) about these time zones. The
organizer keeps track of time in all time zones based on Coordinated
Universal Time (UTC), so the times are always accurate. This feature is
convenient for travelers who always need to know what time it is no matter
where they are.
Viewing A Time Zone
To view the currently set home time zone, select the clock symbol from the
main menu. The home time screen appears with the currently set home city
name, day of the week in the home city, HOME, and the date and time in the
home city.
The organizer is preset to use NEW YORK as the default home time zone, but
you can change it. See "Setting City Names" below.
To view the currently set world time zone at any time, select the clock
symbol from the main menu. Then press EXE.
The display shows the world time screen with the following information:
Currently set world city name
+ or - and the number of hours difference between the world city and
your home city
Day of the week in the world city
Date and time in the world city
The organizer is preset to use LONDON as the default world time zone, but
you can change it. See "Selecting a Time Zone." The organizer also has
two additional cities stored in its memory that you can use to see the
time and date in those cities.
Selecting A Time Zone
The organizer is preset with four city names: LONDON, PARIS, NEW YORK,
and TOKYO. You can either:
set any of these preset city names to be your home or world city
(see "Selecting a Home and a World City" below).
Replace a preset city name with a different name, then set that city
name to be your home or world city (see "Setting City Names" below).
Setting City Names
If you want to enter a city name that is different from the preset cities,
use the chart below to write each city name and the difference (in hours)
between the city and UTC.

Notes: In the United States, the Eastern time zone is 5 hours behind
UTC during the winter, and 4 hours behind UTC during the summer.
If you want to use a city that is located in the same time zone as
one of the preset cities, you can select that preset city then
simply change it to the name you want (you do not have to change
the time difference).
Follow these steps to set a city name.
1. From the main menu, select the clock symbol. The home time screen
appears.
2. Repeatedly press /\ or \/ to display the city name you want to change.
Notes: You must press /\ or \/ at least once to change a displayed city
name.
When you reach the first or last stored city name, NOT FOUND!
appears on the display. Simply continue to press /\ or \/.
3. Press <. The cursor appears on the first character of the city's name,
and the display shows the number of hours difference between the
displayed city and UTC.
4. Repeatedly press DEL to delete the displayed city name.
5. Use the letter keys to enter a city name (up to 16 characters) that you
entered in the chart above, then press \/ or /\ to move the cursor to
+ or - in the next line.
Note: If you do not need to change the time difference, simply press EXE
to store the city name.
6. Press - or + and use the number keys to enter the difference in hours
between the city and UTC.
7. Press EXE. STORED! briefly appears and the organizer saves the city
name you entered.
Once you store the information, the time difference changes to show the
difference in time relative to the currently set home city. If you
have not set your home city yet, the times shown might be temporarily
incorrect.
8. Repeat Steps 2-7 to enter other city names and time differences.
Now that you have the city names set, you can choose one city as your home
city and another as your world city. See "Selecting a Home and a World
City" below.
Selecting a Home and a World City
Follow these steps to select a home city.
1. From the main menu, select the clock symbol. The display shows the
home time screen.
2. Repeatedly press /\ or \/ to display the city name you want to select
as your home city.
Notes: As you display city names, the organizer also displays the time
difference between the displayed city and your home city.
When you reach the first or last stored city name, NOT FOUND!
appears. Simply continue to press /\ or \/.
9. When the city name you want to select as your home city appears, press
HOME SET. SET! briefly appears.
To select a world city, repeat Steps 1 and 2. When the city name you want
to select as your world city appears, press WORLD SET. SET! briefly
appears.
Telephone Directory
Your organizer has two telephone directories, TEL (1) and TEL (2), which
you can use to keep separate lists of phone information, such as business
and personal contacts. You can enter a company's name (TEL (2), person's
name, telephone and fax numbers, and address or other information into a
record. You can enter up to 251 characters (TEL (1) or 250 characters
(TEL (2)) in each record, each line can contain up to 16 characters.
Note: The organizer sorts telephone records in alphanumeric order by the
first few characters in the name field, so you might want to enter
a person's last name first.
Follow these steps to enter telephone records.
1. From the main menu, select 1 or 2. The display shows the screen for
the directory you selected. The number to the right of DATA shows the
number of telephone records stored, and a prompt appears. Name? for
TEL (1), Company? for TEL (2).
2. If you selected TEL (2), enter the company's name, then press EXE.
NAME? appears.
3. Enter the person's name, then press EXE. Number1? appears.
4. Enter the telephone number, then press EXE. Number2? appears.
5. Use the number keys to enter the fax number, then press EXE. Address?
appears on the screen.
6. Enter the address or other information.
7. To save the telephone record, press EXE. STORED! briefly appears, then
the information you stored appears. Or, if you do not want to save the
information you entered, press ON. The organizer displays the screen
for the directory you selected.
8. To enter more records, press ON then repeat Steps 2-6.

Memo Pad
The organizer's memo pad feature lets you quickly enter and save important
information, such as itineraries or telephone messages. You can enter up
to 254 characters in each record, and each line contain up to 16
characters.
Note: The organizer sorts memo records in alphanumeric order by the
first few characters in the first line.
Follow these steps to enter a memo record.
1. From the main menu, select symbol. The memo information screen
appears. The number to the right of DATA shows the number of memo
records stored.
2. Enter the first line of the memo. The first line serves as the memo's
title; we recommend you use a short descriptive title on the first line.
3. Enter the rest of the memo.
4. To save the memo record, press EXE. STORED! then the stored record
appears.
5. To enter more records, press ON then repeat Steps 2-4.

To edit a memo record, see "Editing a Stored Record".
To delete one or all memo records, see "Deleting Records".

Calendar
You can display monthly calendars from January, 1901, to December, 2099.
You can highlight any holidays or important dates. You can also use the
calendar to check your schedule.
From the main menu, select symbol. The calendar for the current month
appears.
If you previously stored a schedule record (see "Schedule" below) for a
specific day, a marker (symbol) appears to the right of that date.
The date cursor flashes in the calendar to indicate the current date. To
move the date cursor, press <, >, \/ or /\. To clear the date cursor,
press ON/ESC. To display the cursor again, press /\ or \/.
To scroll through the calendar month by month, first press ON/ESC to clear
the date cursor. Then press < or > to scroll backward or forward through
the months.
To quickly jump to a specific date, press < while the date cursor is
flashing. Use \/ or /\ to highlight DATE then press EXE. Use the number
keys to enter the desired date, month, and year you want to display, then
press EXE. The calendar for the month you entered appears with the date
cursor flashing at the desired date.
Notes: Precede all single-digit entries with a zero. For example,
press 0 2 2 8 1 9 9 7 to enter February 28, 1997.
If you enter invalid digits (for example, 13 for the month or
32 for the date), INPUT ERROR! briefly appears, then the screen
reappears. Correct the information, then press EXE again.
Highlighting Dates
You can highlight a specific date (such as your birthday), a day of the
week (such as Sunday), or a period of time (such as your vacation) within
one year. Press < while the date cursor is flashing. Use \/ to highlight
HOLIDAY SET then press EXE.Then:
To highlight a specific date, use Down or Up Arrow to highlight 1 DAY then
press EXE. The calendar reappears with a * and the date cursor flashing.
Use <, >, \/, or /\ to move the date cursor to the date you want to
highlight, then press EXE. To highlight other dates, move the date cursor
to the additional dates you want to highlight, then press EXE. Press ON to
store the highlight.
To remove a highlight, press < while the date cursor is flashing. Use \/
to highlight HOLIDAY SET then press EXE twice. Move the date cursor to
the date you want to unhighlight, then press EXE. Press ON to store the
change.
Entering The Schedule From The Calendar
Simply move the date cursor to the desired date and press EXE.
Schedule
You can enter a schedule record, and set a time for the schedule alarm to
sound.
You can enter up to 245 characters in each record, and each line can
contain up to 16 characters. At the set time, the organizer displays the
record and the alarm sounds for about 15 seconds (if set). To silence the
alarm, press any key.
Notes: If the organizer is off, it automatically turns on, sounds the
alarm, and displays the schedule record at the scheduled alarm
time.
Because pressing any key turns off the alarm, the alarm might not
sound and the schedule record might not appear if you are entering
information precisely at the scheduled time. Also, if a schedule
record appears while you are entering information, you might need
to enter the information again.
Follow these steps to enter a schedule record and set a schedule alarm.
1. From the main menu, select symbol, then press <. The current date
appears.
2. Use the number keys to enter the month, date, and year when you want
the alarm to sound, then press EXE. The day of the week appears and
the hours first digit flashes.
Notes: Precede all single-digit entries with a zero. For example, to
enter January 06, 1998, press 0 1 0 6 1 9 9 8.
If you enter an incorrect character, repeatedly press < until the
cursor covers the character, then enter the correct character.
3. Enter the starting time. Use the number keys to enter the hour and
minute. If the organizer is set to the 12-hour format, AM or PM
flashes. Press A for AM or P for PM. The hour's first digit of the
end time flashes on the display.
4. If you don't need to enter an end time, simply press EXE. Otherwise,
enter the end time, then press EXE.
5. Schedule? appears on the display. Enter the reminder message.
If you want to enter another line, press <. The cursor moves to the
next line.
6. To set the organizer to sound the alarm at the date and time you
entered, press ALM music note symbol, bell symbol appears.
To cancel the alarm, press ALM music note symbol again. Bell symbol
disappears.
7. To save the schedule record, press EXE. STORED! then the stored alarm
record appears.
Note: If you entered an invalid date or time, IMPUT ERROR! briefly
appears. Correct the information, then press EXE again.
8. To enter more records, press ON then repeat Steps 2-8.

To edit a stored schedule record, see "Editing a Stored Record".
To delete one or all schedule records you stored, see "Deleting
Records".
