How to Make Memos
Memos are simply short voice recordings that replace the dozens of notes
you might write to yourself. This section shows you how to make a memo,
leads you step-by-step through making two sample memos, then gives you
additional information you may find helpful as you record memos.
These are the steps you will follow in the examples beginning on the next
page and whenever you record a memo. Just read the steps as an overview,
and go to the next page to do the practice examples. When you need a
refresher on recording a memo, just reread the overview on this page.
Overview - Recording a Memo
Hold the RECORD button. You will hear a beep.
Say your message. Begin speaking immediately. RECORD is displayed on the
screen during recording.
Release the RECORD button and your message is saved. That's all there is
to it. The display will show, for example, RECORDED 11:21. This means
the memo was recorded at 11:21 (the current, correct time). The memo
number is also shown.
Overview - Playing a Memo
Press PLAY. The last memo you recorded will play.
To Practice Recording Memos
Doing the following examples will help you quickly familiarize yourself
with this function of your Organizer.
Hold the RECORD button.
Say "Call Bob."
Release the RECORD button.
That's all there is to making a memo. Now make another one.
Hold the RECORD button.
Say "Productivity meeting with Linda at 4."
Release the RECORD button.
You've just made two memos. Next, you'll play them.
You will hear both your memo to call Bob and your memo about the
productivity meeting.
Press PLAY to hear the last memo.
Press PREV to hear the prior memo.
The display will show the times the memos were recorded.
Erase
To erase the memo you've just played, hold the ERASE button while the
screen still shows RECORDED and the memo's time. ERASING will be displayed
briefly on the screen.
More About Memos
Play
You can press PREV or NEXT during playback to move to the next memo without
finishing the current one. Press STOP to return to the basic clock display
immediately, or wait 30 seconds to return automatically to the basic
clock display.
Re-Record
To re-record, you may simply erase as described above. After erasing, hold
the RECORD button and record your message.
Save Time
Keep your message brief. Avoid filling up space with phrases like "Remember
to..." and "Don't forget..." Just say what you need to remember. An ideal
message length is 2-10 seconds, the shorter the better. You don't need to
state the day or time that you want to be reminded. (Date and time are
covered in "Reminders".)
How to Make Reminders
Attaching a future time to a memo makes it a reminder.
Some memos may be more effective if you are reminded of them at specific
times. For example, a call that you would like to make at a certain time.
"Call Dr. Braun" at 10:00 am. The steps you will follow are listed below.
Just read them now as an overview. Then, do the practice examples.
Reminder Overview
Hold the RECORD button to begin a memo.
Say your message.
Release the RECORD button, and your message is saved.
Hold the TIME button to set a future time.
Say the time you want the message to come due. Hour, quarter hour
(optional), AM/PM and day or date (optional) with a pause after each word.
Don't worry about what to say next. The display will prompt you at each
point and then confirm your time statement, word by word.
Release the TIME button, and the time is saved. SAVED flashes on the
screen before showing the PLAYBACK time and the reminder number.
To Play Your Reminder
You may press PLAY immediately to hear your reminder. Later on, when the
reminder comes due, you will be beeped. Then press PLAY to hear your
reminder.
To Practice Recording Reminders
To be reminded within the next 15 minutes...
The Voice Organizer knows hours, half hours, and quarter hours (e.g., 1 PM,
1:15 PM, 1:30 PM, and 1:45 PM). For this example, you will set a reminder
to come due within the next 15 minutes. If it is now (for example) 1:04 PM,
you would record a reminder for 1:15 PM. If it is now 1:49 PM, you would
record a reminder for 2 PM.
Pause for a moment to decide the time for which you'd like to set this
reminder, then follow this example.
Hold the RECORD button.
Say "Call Jerry."
Release the RECORD button.
Hold the TIME button.
Say the hour.
Say 15, 30, 45 (or nothing if the hour is coming up shortly).
Say AM or PM.
Release the TIME button. (Since the reminder is for today, ignore the
prompt for DAY-DATE.) Notice you said only the time, finishing with AM/PM.
You will be beeped momentarily to "Call Jerry." When you hear the beep,
just press PLAY to hear your reminder.
To be reminded later today...
Hold the RECORD button.
Say "Finish draft of Ajax presentation."
Release the RECORD button.
Hold the TIME button.
Say "7."
Say "PM."
Ignore the prompt for DAY-DATE.
Release the TIME button.
Notice you said only the time, finishing with AM/PM. Later on today when
you are beeped, just press PLAY.
To be reminded later this week...
Hold the RECORD button.
Say "Mail the tax forms."
Release the RECORD button.
Hold the TIME button.
Say "9."
Say "AM."
Say "SATURDAY" (a day at DAY-DATE prompt).
Release the TIME button.
You will be beeped Saturday morning at 9:00. Notice you skipped the quarter
hour and date fields, saying the time, AM and the day of the week.
To be reminded more than a week from now...
You must use a specific date and respond to the DAY-DATE prompt. For the
month, you say a number, 1 through 12. For the date, you say 1 through 31,
pronouncing each digit individually. For example, if you wanted to be
reminded on November 26:
Hold the RECORD button.
Say "Begin monthly report."
Release the RECORD button.
Hold the TIME button.
Say "7."
Say "45."
Say "AM."
Fill in entire DAY-DATE prompt.
Say "11" (for November).
Say "2."
Say "6" (the day of the month entry is entered using single digits, 0-9).
Release the TIME button. You will be beeped November 26 at 7:45 AM.
Notice you filled in all the fields prompted.
To Review Reminders
Press STOP if you are not back to the basic clock screen.
Press the SELECT button twice. The due time of your first reminder will
appear on the display.
Press PLAY to hear the first reminder that will come due.
Press NEXT to hear the second reminder.
Press NEXT to hear the third reminder.
Press NEXT to hear the fourth reminder.
You have just reviewed your reminders in advance of their coming due.
To Play a Reminder When You are Beeped
Hear the beep. See MESSAGE on display screen.
Press PLAY to hear the reminder that came due.
See CAME DUE (and the time you assigned).
Press STOP (or wait 30 seconds). The message will be erased.
More About Reminders
Be sure to say only the hour, quarter hour (if applicable), AM/PM and the
day or date.

Accuracy
If the Organizer "misunderstands" you i.e., puts a time on the screen that
is not what you said, release the TIME button and wait for the SAVED or
NO CHANGE message followed by the RECORDED or PLAYBACK time.
Hold down the TIME button again, and repeat the desired time.
Especially in the beginning, you may find that a few words are
misrecognized. Is so, these words can be retrained. Retraining some words
may also be necessary as you gain familiarity with your Organizer. You
may also wish to retrain all words after you begin to feel comfortable
using the Voice Organizer and have developed a more natural style of
speaking into it.
Change Time
For 30 seconds, the screen will show the playback time you set before
returning to the basic clock display. If you made a mistake, simply press
and hold the TIME button again while the playback time you recorded is
still on the display, and re-record your desired due time.
Erase
Want to erase or re-record the message?
Hold the ERASE button while PLAYBACK and the time due are still on the
screen, and record again.
Timesaving Tips
Attach the same due time to several messages so you will be prompted to
play, and therefore attend to, several items with only one beep. You'll
be getting more done than ever before!
Today - you don't need to say the day when stating the due time if you want
to be beeped later today.
Make a Memo into a Reminder
There will be times when you'll need to record a reminder in a car, plane,
or other noisy environment. In such cases, it is best simply to record a
memo and then later add the reminder time. Here's how.
To Practice Changing a Memo into a Reminder
Earlier, you created a memo to "Call Bob." Here's how to convert it into
a reminder. If you don't have a memo, make one first.
Press STOP until you return to the basic clock display, if you are not there
already.
Press the SELECT button once to enter the memo compartment.
Press PLAY to hear your last memo.
Press PREV or NEXT to scroll through your memos until you hear the message
to call Bob, or whichever memo you want to convert to a reminder. When you
locate the memo...
Hold the TIME button to enter a due time (make up your own time). Follow
the on screen prompts to enter the hour, quarter hour if desired (15, 30,
or 45), AM/PM, and the day (if other than today).
Release the TIME button.
Other Major Functions
Besides the Phone Directory and Calculator introduced in "Detailed Features
& Functions," Faxback Doc. # 40037, there are several important functions
you can use right now with the experience you already have.
Recurring Reminders
A recurring reminder will beep you at repeating intervals - the same time
every day, week, month or year. After entering a reminder time, and before
releasing the TIME button, simply say "Recurring."
Calendar
The Calendar allows you to review all the reminders and recurring reminders
you have entered for a given day.
To enter the calendar, from the basic clock display, hold the TIME button
and say the date and time you want to review. The display shows how many
reminders you have set to come due that day. You may call for a date
either by saying a day of the week (e.g., Monday, Tuesday), or the month
(a number from 1-12) followed by the day of the month spoken as single
digits, as in 4, 1, 3, for April 13, or 12, 3, 1 for Dec. 31.
Timer
The timer will beep at the end of a period of time (rather than at a
specific time and date), such as in 20 minutes, in two and a half hours.
Recurring Timer
You can be beeped at the same time interval throughout the day (for example
every 12 hours).
How to Use the Phone Directory
Phone numbers are entered into the Voice Organizer directory by voice.
Numbers are recalled by saying the person's name, then looking at the
display for the number. The directory is divided into five alphabetical
groupings for quick access: A-D, E-I, J-M, N-R, and S-Z.
Once again, it is suggested that you first read the overview for each major
phone directory function (entering and retrieving) and then follow with
the practice examples.
You should be comfortable recording reminders before beginning to use the
directory and calculator. If you don't feel proficient, repeat the practice
exercises for reminders in the previous section.
Entering a Phone Number in the Directory
Overview
Press the PHONE button to go to the phone directory. Press the PHONE button
again to select the desired alphabetical section.
Hold the EDIT button for a double beep. This tells the Organizer you wish
to add a name to the directory. The display will prompt you to enter
NAME.
Hold the PHONE button to enter name for recognition.
Say the name to be entered. Repeat when prompted. Screen then prompts for
NUMBER. Continue to hold the PHONE button.
Say the phone number. Pause between digits.
Release the PHONE button.
Press the SAVE button.
Press NEXT to select the kind of number it is: Business, Home, Fax, or
other.
Press the SAVE button. The screen displays RECORD.
Hold the PHONE button to record the name or message that will play back for
confirmation upon retrieval. This saves the entire entry.
Release the PHONE button.
Press PLAY to hear recording.
Press STOP to return to the standard clock display.
Retrieving a Phone Number
Overview
Press the PHONE button as many times as necessary to access the desired
alphabetical directory section.
Hold the PHONE button.
Say the name of the person you want.
Release the PHONE button. Organizer plays back name you asked for and
screen displays first phone number.
Press NEXT to see next number.
To Practice Entering Phone Numbers
Press the PHONE button to enter a new name and number into the A-D section.
Hold the EDIT button for double beep. Screen prompts for NAME.
Hold the PHONE button until entire name and number are entered, as follows:
Say "Dr. Braun."
Repeat "Dr. Braun," when prompted. Screen then prompts for NUMBER. (Keep
holding the PHONE button.)
Say "5 5 5 zero 2 3 9" (pausing between each digit). Each digit continues
to blink until the next digit is entered. If you make a mistake, press
STOP button and begin again at the top of this section.
Release the PHONE button.
Press the SAVE button. BUSINESS flashes on the screen.
Press the SAVE button, because this is a business number. RECORD is shown
on the display.
Hold the PHONE button to record the name or message that will play back
whenever you ask for Dr. Braun's number.
Say "Dr. Braun." When this final recording is made, your name and phone
number are saved.
Release the PHONE button.
To Practice Retrieving Phone Numbers
Press the PHONE button to access the A-D section.
Hold the PHONE button.
Say "Dr. Braun."
Release the PHONE button. The Organizer plays back "Dr. Braun," and screen
displays phone number.
To Practice Adding a Phone Number to an Existing Name
(Retrieve Dr. Braun's phone number following directions above)
Hold the EDIT button for the double beep (to indicate adding a number).
Hold the PHONE button.
Say 2 1 2 5 5 5 8 zero zero 9. This number includes an area code.
Release the PHONE button. Screen displays number.
Press the SAVE button. Display prompts for HOME type.
Press the SAVE button to accept as home number (or NEXT to move to Fax or
Other).
To Practice Editing a Phone Number
(Retrieve Dr. Braun's phone number following directions above)
Press NEXT to move to Dr. Braun's home number.
Press the EDIT button for one beep. First digit flashes.
Press the SELECT button to move digit by digit to the second zero.
Press NEXT until the 0 becomes a three.
Press the SAVE button to save the edited phone number.
To Practice Erasing a Phone Number
Hold the ERASE button for a double beep. Dr. Braun's home number is
deleted. And since this is the last remaining number stored for Dr. Braun
the entire Dr. Braun entry is deleted.
More About Entering Numbers
Some Tips
If the Voice Organizer misunderstands a digit you said, you can say "No."
Remember to say "zero" not "oh" when entering numbers.
If some numbers or names are often misrecognized, you may want to restrain
them.
Incomplete Name
If the display goes blank before you finish saying a name you want to add,
release the PHONE button and begin again by holding the EDIT button for a
double beep. Be sure to say the name all at once without pausing between
the first and second name.

More About Retrieving Numbers
To retrieve a number, press the PHONE button to access the desired
alphabetical directory section, hold PHONE and ask for a name, press PREV
or NEXT to see another number for the same name or to scroll to the next
name if that was the last number for this name. To get another number,
hold the PHONE button and say the next name you want if it's in the same
alphabetical grouping or press and release PHONE to move from directory
section to section, then hold PHONE to say the name.
Long Numbers
The Organizer can accommodate phone numbers with as many as 20 digits.
The display screen will show up to 15 of them, and the remaining digits
will flow onto a second screen, accessed by pressing the SELECT button.
Phone Numbers With Extensions
Because of all the various ways phone numbers can be expressed (area codes,
three or four digit extensions, etc.) some phone numbers you enter may not
fit the format in the Organizer's display.
How to Use the Calculator
The calculator performs simple, voice-activated, four-function math. It
will add, subtract, multiply, and divide numbers from -9,999.99 to
99,999.99. Note that only two digits can be entered after the decimal
point. Once again, an overview is followed by practice examples. Speak
clearly, pausing after each number and word until it appears on the display.
Calculator Overview
Press the SELECT button five times to get to calculator.
Hold the TIME button to enter data by voice.
Say the commands you wish to enter. (Numbers between zero and nine, point,
plus or minus, times or divided by, or equals.)
Release the TIME button when finished or anytime you want to start over.
Press the STOP button. Screen will return to the standard clock display.
To Practice Single Calculations
Press the SELECT button five times from basic clock display to access
calculator.
Hold the TIME button.
Say "1 + 2 =" (pausing between words say: one, plus, two, equals).
Release the TIME button.
Try another one.
Hold the TIME button.
Say "231.5 - 150.01 =" (two, three, one, point, five, minus, one, five,
zero, point, zero, one, equals).
Release the TIME button.
Press the STOP button. Screen will return to the standard clock display.
To Practice a Series Calculation
Enter the calculator mode as described above, then:
Hold the TIME button.
Say "231.5 - 150.01 =" (exactly as above). Keep holding the OTIME button.
Say "Plus, 100, divided by, 50, equals."
Release the TIME button.
To exit the calculator:
Press the STOP button.
How to Access Individual Functions
Most of the functions about which you have been learning (memos, reminders,
recurring reminders, calendar and calculator) are set up in separate
"compartments." The SELECT button moves you between compartments in the
Organizer as illustrated below and eventually returns you to the basic
clock display.
To access the Phone Directory, always use the PHONE button for both input
and retrieval.
As a shortcut, the Calendar may be accessed by voice from the basic clock
display, using the TIME button.
