Recalling Business Card File Records
You can recall business-card-file records two ways - indexed recall, and
sequential recall.
Indexed Recall
To quickly recall a business-card-file record:
1. Press [BUSINESS CARD FILE].
2. Enter the first letter(s) of the person's name or company name.
AS soon as you enter a character that distinguishes the record from
others, the business-card record appears. If more that one record
starts with the same eight characters, enter the first eight
characters. Then press [FWD] to display the first record that matches.
Repeatedly press [FWD] to see the next records in alphabetical order.
3. If the record is longer than one screen, press [DOWN] to review the
additional information one line at a time. Press [UP] to move up
through the record. Or, press [TURN PAGE] to move ahead an entire
screen at a time.
Sequential Recall
To scroll through your business-card records:
1. Press [BUSINESS CARD FILE].
2. Press [FWD] or [REV] to advance or back up through the business cards
in alphabetical order.
Your business cards show up twice - once by the person's name and once
by the company name.
3. If the record is longer than one screen, press [DOWN] to view
additional information one line at a time. Press [UP] to move up
through the record. Or, press [TURN PAGE] to move ahead a screen at a
time.
Recalling Letters To Write
To recall your list of letters to write, press [LETTERS TO WRITE]. Your
letters to write appear in alphabetical order. If you have more than one
screen of letters to write, press [TURN PAGE] or [DOWN] to see more of the
list.
Recalling Reminder Notes
To recall reminder notes, press [REMINDER NOTES]. Reminder notes appear
in alphabetical order. The first line of each note starts in the left
column. Additional lines are indented one space. If you have more than
one screen of reminder notes, press [DOWN] to see more notes.
Recalling Call-Sheet Records
To recall call-sheet records, press [CALL SHEET]. Call-sheet records
appear in alphabetical order. If you have more than one screen of call
sheet records, press [TURN PAGE] or [DOWN] to see more of the list.
Viewing The Morning Review
The morning review function automatically displays your letters-to-write,
reminder-notes, and call-sheet records with a single press of [MORNING
REVIEW]. Each screen of all files display for abut 2 seconds.
Recalling A Monthly Calendar
To see a monthly calendar, press [MONTHLY CALENDAR]. To advance one month,
press [FWD]. To look at a previous month, press [REV]. To advance to the
same month in the next year, press [DOWN]. To go to the same month of the
previous year, press [UP].
Internal Information Transfer
You do not have to manually enter your call-sheet or letters-to-write
records if you have already entered a business-card-file record for the
person. To automatically transfer the information:
1. Recall the business-card-file record for the person to add to the call
sheet or letters-to-write file.
2. Press and hold [SPACE]. Then, press either [LETTERS TO WRITE] or
[CALL SHEET] to transfer the information to the desired file.
When you transfer information to the letters-to-write file, the
person's name and company name transfers. When you transfer
information to the call-sheet file, the person's name and telephone
number transfers.
Changing A Business-Card-File or Reminder-Notes-Record
To change a business-card-file or reminder-notes record:
1. Recall the business-card-file record or the reminder note to the first
line in the display.
2. Press [ERASE]. A flashing cursor appears at the end of the first line.
3. Use [REV], [FWD], [UP], and [DOWN] to position the cursor on a
character you want to change. Press [ERASE] additional times to back
up and delete more characters. Deleted characters are replaced with a
space.
4. Type in new characters. If you type on a space, the space is replaced
with the character. If you type on a character, the new character is
inserted before the old character, and the old character moves to the
right.
5. Press [BUSINESS CARD FILE] or [REMINDER NOTES] to save your changes to
the record.
You cannot change a call-sheet or letters-to-write record. You must delete
and re-enter these records.
Deleting A Record
To delete a record from any of the files:
1. Recall the record you want to delete to the top line of the display.
2. Press and hold [ERASE] until the record disappears.
Using The Security Code
You can set a security code for your data directory so that others cannot
get into your private business information. To set the security code:
1. Press and hold [SPACE]. Then, press [.].
2. At the prompt, enter a two-digit number. This number becomes your
data directory's security code.
3. Press [ENTER] to store the number.
To lock your files after you set a security code, press and hold [SPACE].
Then press [.]. Your data directory now prompts for the security code
whenever anyone presses one of the file buttons.
To unlock your files, enter the correct two-digit security code at the
prompt.
To remove the security code from your data directory, lock your files.
Then, when the data directory prompts for the correct security code, press
and hold [ERASE] while you enter the correct code.
Transferring Between Data Directories
You can transfer business-card-file records between your data directory
and another EC-339, EC-340, or compatible Rolodex data directory.
Note: The directory's display might dim during the transfer. This is
normal, and the display contrast will return to normal after you
complete the transfer.
Transferring All or New Records
To transfer all business-card records from your data directory to another
data directory, or to transfer all records you have made since the last
time you transferred records:
1. Place the sending data directory on the right, and the receiving data
directory on the left.
2. On the receiving data directory, press [BUSINESS CARD FILE]. Then,
press and hold [SPACE]. Press R to begin receiving.
3. On the sending data directory, press [BUSINESS CARD FILE]. Then, press
and hold [SPACE] and press L.
4. To send all records, type ALL. To send only records you made since the
last transfer, type NEW.
The records begin to transfer. When the transfer completes, both data
directories show the last record sent.
If the receiving data bank displays an error message, be sure the transmit
and receive windows on the data directories are lined up, and try again.
If you send the same records to a data directory more than once, the
records are duplicated.
Transferring One Business Card
To send only one business card file record to another data directory:
1. Place the sending data directory on the right, and the receiving data
directory on the left.
2. On the receiving data directory, press [BUSINESS CARD FILE]. Then,
press and hold [SPACE] and press R.
3. On the sending data directory, recall the business card you want to
send. Press and hold [SPACE]. Then, press L.
The recalled business card record is sent to the receiving data directory.
Then, both data directories display the record.
Converting Currencies
Your data directory can convert 11 different international currencies. The
data directory uses the following abbreviations for currencies:
CAND, Canadian dollar
DM, German mark (Deutchmark)
E.PD, English pound
FF, French franc
HKD, Hong Kong dollar
LIRA, Italian lira
NT, New Taiwan yuan
PESO, Mexican peso
SF, Swiss franc
USD, U.S. dollar
YEN, Japanese yen
Entering and Changing Exchange Rates
Before you can calculate a currency exchange, you must first enter the
current exchange rate. You enter all exchange rates relative to the U.S.
dollar. That is, the U.S. dollar always equals 1. To enter or change an
exchange rate:
1. Press [CALCULATOR].
2. Press X.
3. Use [REV], [FWD], [UP], and [DOWN] to move to the currency exchange
rate you want to enter or change.
4. Enter the current exchange rate.
For example, if the Japanese yen is currently valued at 158.63 yen to
the dollar, enter 158.63 next to YEN.
5. Enter additional exchange rates, or press X when you finish.
Using The Calculator
Press [CALCULATOR] to use the calculator. Then, use +, -, x, /, and = keys
just as you would on a normal calculator.
Press [CALCULATOR] to start a new calculation.
Press any other function key to stop using the calculator.
