EC-442 (650-0847) Databank Operation Faxback Doc. # 15801
BASIC DATA ENTRY PROCEDURES
Follow these guidelines when entering data into the telephone directory
scheduler, memo or reminder nodes.
Entering Characters or Numbers
To enter characters or numbers, press the key marked with the character or
number.
To enter a space, press SPACE.
When you enter five lines or more, the display scrolls up and the
indicator UP SYMBOL appears on the screen's left side to show there are
more lines above what shows on the display. DOWN SYMBOL indicates data
continues below what shows on the display.
Switching Between Lower- and Upper-Case
To enter a single upper-case letter, press SHIFT before inputting the
letter. S appears on the display and disappears after you enter the
letter.
To enter multiple upper case letters, press CAPS. CAPS appears on the
display, indicating all alpha characters are entered as upper case. To
enter a single lower-case letter while CAPS is on the display, press SHIFT
before entering the letter. S appears on the display and disappears after
you enter the letter.
To return to lower-case letters, press CAPS again. CAPS disappears from
the display.
Correcting/Deleting/Inserting Characters
To correct a misspelled word in a record, simply move the cursor to the
incorrect character and enter the correct character.
To delete extra characters in a record, move the cursor to the character
you want to delete. Press DEL to delete the character.
To insert missing characters in a record, move the cursor to the desired
position. Press INS, and type the missing character.
Entering Math Operations in the Calculator Mode
In the calculator mode, simply press the key with the operation you want
marked above it in orange. The operation keys have no other function in
this mode.
Entering Symbols
To enter the symbols printed in yellow above the number keys, press SHIFT
before pressing the number key. S appears on the display and disappears
after you enter the symbol.
Changing Lines
To change to the next line while entering data, press return. NEW LINE
SYMBOL appears on the display and the cursor moves to the beginning of the
next line.
Date and Time Input
When working in the scheduler or reminder modes, follow these general
guidelines for entering times and dates.
Use the same time format (12-hour or 24-hour) as the one selected for
the home time.
You do not have to enter the minute if it is "on the hour" (00 minute).
The scheduler assumes 00 if you do not enter anything.
If you are using 12-hour time format, press A to specify AM or P to
specify PM.
You can enter years within the range of 1901 through 2099. Use the
last two digits (94 = 1994) for 20th century years. 21st century years
must be entered in four digits.
All invalid entries (65 for minutes, for example) are ignored.
To enter Non-English Characters or symbols and letters, press SMBL. The
symbol menu appears on the bottom of the display. Use UP SYMBOL and DOWN
SYMBOL to change symbol screens. Press the number key (1 through 8) that
corresponds to the symbol or letter you want to enter. The selected
symbol or letter appears on the screen.
DISPLAYING/EDITING RECORDS
Data/Index Display
The telephone directory, memo, schedule, and reminder modes show records in
either of two display formats: data display or index display. The data
display shows all the entries in a record, and the index display shows a
shortened display, so you can quickly locate the information you need.
To switch between the two formats, press DISP CHNG.
Use UP SYMBOL or DOWN SYMBOL to scroll through records line-by-line. Press
SHIFT UP SYMBOL or SHIFT DOWN SYMBOL to scroll one record at a time.
Use UP SYMBOL or DOWN SYMBOL to scroll through an index display record-by-
record. Press SHIFT UP SYMBOL or SHIFT DOWN SYMBOL to scroll one screen
at a time.
Marking a Record
You can mark any record in the telephone directory, scheduler, reminder
and memo modes so it is not deleted when you perform an all-delete function
(see "Deleting All Records"). This is convenient when you want to free
memory or clean up the databank without losing certain key records.
To mark a record, press SHIFT MARK while entering or editing the record. A
dot appears to the left of the first line. To unmark the record, press
SHIFT MARK again in the edit mode so the dot disappears.
Clearing an Entry
To clear the record you are entering, press CLEAR. You can also press ESC
or any mode key, and the record is not stored.
Deleting a Record
Follow these steps to delete a single record.
1. Enter the desired mode.
2. Recall the record you want to delete and position it at the top of the
display.
3. Press FUNC so ITEM DELETE appears on the menu.
4. Press 2 to select ITEM DELETE.
5. Press SET to delete the data. To cancel the delete operation, press
ESC.
Deleting All Records
Follow these steps to delete all data in a specific mode (such as the
telephone directory) except the one(s) marked (see "Marking a Record").
1. Enter the desired mode.
2. Press FUNC so ALL DELETE appears on the menu.
3. Press 2 to select ALL DELETE.
4. Press SET to delete all entries. To cancel the delete operation,
press ESC.
Checking the Memory Capacity
The memory-check function shows how much memory is used and how much
remains. To display the current memory status, hold down CAPA. Release
the button to return to the normal display.
NOTES: For more information about the databank's memory storage
capacity, see "Storage Capacity" under "Additional Information."
All modes share a common memory. The number of records you can
store decreases as you store data in the telephone directory,
reminder, scheduler, memo, or calendar.
Memory Overflow
The memory overflow message appears on the display if the data you are
trying to store exceeds the memory capacity.
When this happens, press RIGHT SYMBOL or LEFT SYMBOL to display the data
you are trying to enter and reduce the number of characters. If the
memory overflow message still appears, press CLEAR to display the enter
prompt ("NAME?" or "MEMO?"), and delete data you no longer need; or,
transfer the data to your PC or paper records and then delete it.
Number of Records in Each Mode
When you select a mode, the initial display shows the number of records
(total number and marked record number). To see the number of records in
the secret memory area, enter the secret memory area (See "Using the
Secret Function.")
