RingCentral Address Book and Dialing Faxback Doc. # 48933
The Address Book stores names, phone and fax numbers, street and e-mail
addresses plus additional information of your contacts. You can create
groups to send your messages to eliminate multiple messages, sort your
Address Book, and select graphics to help you identify a Address Book entry
visually. If you want to keep all your contact information in one place,
you can export information from other databases into your Address Book.
The Address Book can automate sending faxes.
Accessing the Address Book
- Click Menu on the Main Screen and select Configure_ Address Book.

- Use the shortcut Ctrl+N to open the Address Book.
Adding or Changing a Address Book Entry
1. Open the Address Book.
2. Click Go on the Address Book screen.
3. Select Add... to add a new entry
-or-
Select Edit... to change an existing entry.
4. Fill in the Address Book Entry dialog.
5. Click OK to add or change an entry, or Cancel to exit this screen.
Deleting a Address Book Entry
1. Open the Address Book.
2. Select the entry you want to delete.
3. Click Delete on the Address Book screen.
-or-
Click Go on the Address Book screen and select Delete.
4. Click OK.
The entry is deleted.
Address Book Entry Pad
The Address Book Entry Pad allows you to add and edit information in the
Address Book. You can enter additional information in the lower portion of
the pad under general, additional, and groups tabs. The top portion of the
pad includes the following fields:
First Name, Last Name
The person's first and last name.
Company
The name of the company where the person works.
Title, Department
Information on person's title and department.
Country
The country in which the person works.
Picture
A .bmp file that identifies an entry. Click on the Open File icon and
select any .bmp file to add to the entry in the Address Book. Click on
the Delete icon to clear the picture.
Address Book Groups
Use this dialog to create new groups and add entries to groups.
To create a new group
1. Click New Group.
2. Enter the name of the new group.
3. Click OK.
The new group is created and the entry is added as a group member.
To add an entry to a group
1. Select a group from the list of Available groups and click <<Add.
2. Click OK.
The entry is added as a member of the group.
To delete an entry from a group
1. Select a group from the Group Membership list.
2. Click Delete>>.
The name of the group is removed from the Group Membership list.
Sorting the Address Book
Address Book entries are sorted by the first name and display the home
phone number by default. You can change the sorting field and change the
type of the phone number to display.
- To change the sort order, click on the list box of a Sort By field and
select the field.
- To change the phone type number displayed, click on the list box of a
Phone Type field and select the phone type.
Searching the Address Book
You can search the Address Book and display selected entries. You can
select to display only the Address Book entries that belong to a group by
selecting that group.
1. Open the Address Book. For information see Accessing the Address
Book.
2. Click Find.

Click Address Book... on the dialogs that have this button and click
Find.
3. Select the group name from the Group list box.
4. Click OK.
To reset the Address Book to show all entries, bring up Find in Address
Book dialog again and click Clear.
Importing/Exporting the Address Book
You can copy information from a database file (import) into your
RingCentral Fax Address Book, or copy (export) the entries from your
RingCentral Fax Address Book into another database file. You can
import/export Address Book data in either comma delimited (.csv) format or
RingCentral Fax's own format, Address Book data (.pbd) format. To access
the data in .csv format, you will need to open a spreadsheet application,
such as Microsoft Excel.
To Import or Export Address Book Data
1. Open the Address Book. For information see Accessing the Address Book.
2. Click Go
3. Select Import... or Export...
4. Select the records and fields separators you want to use.
CAUTION! Be sure to use different symbols for Records Separator and
Fields Separator.
5. Click OK.
- If you are importing data, the Open dialog displays.
- If you are exporting data, the Save As dialog displays.
6. Select the file you want to import or export.
7. Click OK.
Your data is imported or exported.
RingCentral Fax will skip any duplicate entries you might have in the two
files.
CAUTION! Before importing Address Book data, make sure that fields and
records in your file follow the order and format described below, then
save the file in either .csv or .pbd format.
Importing in .csv Format
When importing data in .csv (comma delimited) format, the fields in the
file you are importing should be in the exact order as shown below:
First Name, Last Name, Reserved Field, Company, Reserved Field, Title,
Department, Section, Home Phone, Business Phone, Pager Number, Cellular
Phone, Fax Number, Data Number, Additional Home Phone, Additional
Business Phone, Assistant Phone, Business Fax Number, Business Cellular
Number, Additional Pager Number, Country, Area Code, Address, City, State
Zip Code, E-mail Type, E-mail Address, Memo, Reserved Field, Reserved
Field, Web Page, Picture Filename, List of Groups (separated by field
separators)
You must enter a field separator after each field. You must also enter a
record separator after each record. If there is no information in a field,
you must still enter a field separator. Reserved fields in this table are
empty fields. For example, if you have a Address Book entry with no Data
Number, other phones or Picture and you use a "," as a field separator and
"/" as a record separator, the entry should look like this:
John, Smith, ABC Company, 555-1234, 555-2345, 555-3456, 555-4567,
555-5678, , , , , 123 Grand Ave., City, State, 11111, , , , , Group 1,
Group 2/
NOTE You must use different symbols for Records Separator and Fields
Separator.
Importing In .pdb Format
When importing the Address Book in RingCentral Fax's Address Book Data format (.pbd), you must enter the field label followed by the "=" sign before the value of each field. The following is the list of available field labels:
FIRSTNAME, LASTNAME, COMPANY, TITLE, DEPARTMENT, SECTION, PHONEHOME,
PHONEWORK, PHONEPAGE, PHONECELLULAR, PHONEFAX, PHONEDATA, PHONEHOME2,
PHONEWORK2, PHONEASSIST, PHONEWORKFAX, PHONEWORKCELLULAR, PHONEPAGE2,
COUNTRY, PHONECCODE, ADDRESS, CITY, STATE, ZIP, EMAILTYPE, EMAILADDRESS,
MEMO, WEBPAGE, PICTNAME, GROUPS
You must enter a field separator following each field. You must also enter
a record separator following each record. If there is no information in a
field, you do not need to enter the label or the field separator. For
example, if you have a Address Book entry with only a first name and a home
phone number, and you use a "," as a field separator and "/" as a record
separator, the entry should look like this:
FIRSTNAME=John, PHONEHOME=555-1234/
CAUTION! You must use different symbols for Records Separators and Fields
Separators.
Printing the Address Book
You can print your entire Address Book or only selected entries. To print
selected entries, first sort the Address Book or find the entry you need.
CAUTION! Make sure that Ring Zero Fax is not selected as the current
printer, otherwise your Address Book will be sent as a fax.
To Print the Address Book
1. Open the Address Book. For information see Accessing the Address Book.
2. Click Go and select Print_
3. If you need to change any of the printer properties, click Properties.
4. Change any settings as needed and click OK.
5. Click OK.
The Address Book is printed to the selected printer.
