Fax Center Features
The Fax Center coordinates all your fax-related activities, from helping
you create the documents you intend to send, to managing fax transmission
and providing detailed logs of fax activity. Here is a brief summary of
supported features:
You can link directly into the Fax Center from any Windows application that
supports printing. This means you can prepare a document in your favorite
word processor or graphics application, click that application's Print
button; then choose the Aptiva Fax Center's "print" driver instead of your
usual printer. This choice will automatically invoke the Aptiva Fax
Center, where you can address and send off your fax.
Alternatively, you can start from within the Aptiva Fax Center, and set it
to open your favorite word processor automatically whenever you ask to
create a new fax.
The Fax Center also provides an internal text editor that is ideal for
writing brief notes to fax.
Attaching cover sheets
The Fax Center provides a variety of predesigned cover sheets, and
automatically prepares the cover sheet with your name and address
information, and your recipients address.
If you send a fax to a group of recipients, the Fax Center will
automatically attach individually addressed cover sheets to each copy of
the fax.
Sending and receiving faxes
You can send faxes as soon as you prepare them, or use the fax scheduling
features to have the center fax them at any specified date and time.
The Fax Center includes an automatic forwarding feature with which you can
have all incoming faxes temporarily forwarded to any number you indicate.
Maintaining logs of fax activity
The Fax Center maintains separate logs of Sent and Received faxes.
Starting the Fax Center
To open the Fax Center's main window from the:
Operator dialog box, click on The Fax icon
Aptiva Telephone, click on The Fax icon.
Address Book, dial a fax number.
The Fax Center's main window provides access to Fax Center settings, the
Fax logs, and to options for preparing quick notes and standard fax
documents.
Using the Fax Center's Main Window
In The Fax Center's main window, click on:
To create a new fax. This button lets you create multi-page faxes,
including both test and graphics, in any word processor on your
system. See "Creating and Sending Faxes" (Faxback Doc. # 33127).
To create and send a quick note. A quick note is single page fax that
consists of a cover sheet with a note on it. See "To Create a Quick
Note" (Faxback Doc. # 33128).
To open logs of all sent and received faxes. The log area includes
buttons for you to view, print, forward and delete selected faxes.
To open the Fax settings dialog boxes.
To open the Aptiva Telephone window.
To open the Aptiva Address Book.
To start the Windows 3.1 modem communications application that is
currently assigned at Communications Program under Modem settings.
To close the Fax Center window. This button only closes the Fax
Center window; it does not affect the Aptiva Operator or any other
Aptiva Communications Center application.
To open Help.
A Summary of Fax Center Settings
You can set standard aspects of fax appearance and the Fax Center's
operation to suit your work style.
To open the Fax Settings Dialog boxes
If you want to review all Fax settings, you need to use the Settings
button in the Operator dialog box.
If you want to review Fax header information only, you can use Settings
button in the Fax Center's main window.
From the Operator dialog box
1. Click on the Settings button and then choose Fax settings by clicking
on the Fax icon. The first setting dialog box appears. It contains
the settings: Fax Machine name, Fax Banner information, and Forward
Faxes to.
2. To open the second dialog, click on the Advanced....button at the
bottom of the first dialog box. The second dialog box contains:
Speaker setting, Wait x seconds for connection, Retry after x seconds,
Number of retries, Resolution, Maximum transmit rate, Paper size, Use
custom editor.
From the Fax Center's main window
Click on Settings. A single dialog box appears. It contains the
settings for Fax Machine name and Fax Banner information.
To set Header information
Use the following settings to enter standard header information for your
fax pages.
Use To
Fax Banner Optionally include your Company, Name and telephone
numbers in a header line on all faxes.
Fax Machine name Optionally assign a name to your Aptiva Fax Center
To set image resolution and page dimensions
Use To
Resolution Choose between Standard and Fine
Paper Size Choose among standard paper sizes
NOTE: You will have to restart Windows for changes to these settings to
take effect.
To have the Fax Center open your word processor
Use the Editor setting to identify a word processor (or any other Windows
application that provides standard Windows printer support) that you want
to launch directly from the Fax Center to create fax documents.
To control fax transmission
Use these setting to control how the Fax Center handles incoming and
outgoing fax transmissions.
Use To
Forward Faxes to Optionally enter a telephone number to which the Fax
Center should automatically forward copies of all your
incoming faxes. (This feature is especially useful when
traveling.)
Speaker setting Indicate whether or not you want to hear the sounds of
dialing, connection and fax transmission through your
computer's speaker.
Wait..., Retry... Control the length and number of transmission attempts
and Number of the Fax Center should make for a given fax.
Retries settings
Maximum transmit Enter the maximum baud rate at which the Fax Center
rate should transmit faxes. (The installation program will
automatically enter an appropriate value for this
setting.)
Fax Setting Definitions (first dialog box)
Use this dialog box to enter or change: Fax Machine name, Fax Banner
information, and Forward faxes to.
To open the second dialog box, click on the Advanced...button at the
bottom of this dialog box.
Fax Machine name
The Fax Machine name is an optional identifier for your Aptiva Fax Center.
You can assign any string of letters and numbers here. The Fax Machine
name appears at the top of each page on every fax you send.
Fax Banner
You can have the Fax Center print a standard header (banner) line on each
page of your fax. The header line typically includes Name, Company and
phone number information. You are free to use any or all of the setting
fields provided for header information, and to enter whatever information
you want to see in a header line. Any values you enter here appear in a
single line at the top of each page on every fax you send. The information
appears from left to right, in this order: Name, Company, Fax Number, Voice
Number.
Forward Faxes to
Automatically forwards all incoming faxes to the telephone number you enter
here. To activate forwarding:
1. Enter the telephone number in the space provided. Be sure to enter the
entire number, including any access code information, in this field.
The Operator does not add any codes for you when dialing this number.
2. Click on the checkbox to the left of the setting. The checkbox
provides a convenient way to turn forwarding on and off, without having
to erase and reenter the telephone number.
Advanced Fax Settings Dialog Box
Use this dialog box to enter or change: Speaker setting, Wait x seconds for
connection, Retry after x seconds, Number of retries, Resolution, Maximum
transmit rate, Paper size, and Use custom editor.
Speaker setting
Possible settings are:
On - causes the computer speaker to emit the sounds associated with
dialing, connection and fax transmission.
On until connect - causes the computer speaker to emit sounds
associated with dialing and connection. Once a connection is
established the speaker turns off.
Off - suppresses the sounds of fax transmission.
Wait x seconds for connection
The number of seconds the Fax Center should wait for its outgoing call to
be answered by the receiving fax system.
The default is 45 seconds.
Retry after x seconds
The Number of seconds the Fax Center should wait between attempts to send
a given fax.
The default is 60 seconds.
Number of retries X
The number of transmission attempts the Fax Center should make for a given
fax.
The default is three times.
Resolution (see Note below)
Possible settings are:
Fine (the default) - sends faxes at high resolution (204x196)
Standard - sends faxes at low resolution (204x98)
Paper Size (see Note below)
Possible settings are:
Letter (8.5 x 11) is the default.
Legal (8.5 x 14)
DIN A4 (210 x 297 mm)
NOTE: Changes made to the Resolution and Paper Size settings in the
Advanced Fax Settings dialog box will not take effect immediately.
The changes will be applied the next time your computer is started.
Maximum transmit rate
Your fax modem will transmit the fax at the fastest rate it can, up to the
maximum rate specified here. Possible settings are 14400 (the default),
12200, 9600, 7200, 4800, 2400.
NOTE: The maximum transmission rate may be less than the maximum speed for
your fax/modem if your computer's serial port controller card does
not have a buffered 16550 UART chip.
Use custom editor
Identifies a word processor or editing utility that the Fax Center should
open when you ask to create a new fax. By default, when you ask to create
a new fax, the Fax Center brings up the Windows Write utility for entry of
fax contents.
You can, alternatively, set up direct access to any other word processor
or editor on your system from the Fax Center, by identifying it here.
1. At the Use Custom editor setting, click on the checkbox.
2. In the entry space provided, either type in the complete path and file
name of the word processing program you want to use or click on
Browse...to search your system directories for the program file
Whenever you use the Create New Fax button in the Fax Center, it will
automatically start the word processor or editor identified at the Editor
setting.
